Plain-English summary. We collect only what we need to teach your kid well — contact details, scheduling info, and lesson-related notes. We do not sell your data. We do not share student information with advertisers. Period.
1. Who we are
Keats Learning Academy ("Keats", "we", "us") is a tutoring academy operating in British Columbia, Canada. Our registered location is 1258 Lynn Valley Rd #103, North Vancouver, BC V7J 2A3. You can reach our Privacy contact at admin@keatslearningacademy.com.
2. Information we collect
Information you give us directly
- Parent/guardian information: name, email, phone number, and — when you book a Learning Plan Session or enrol — your home address. We ask for the address to invoice you correctly and because our pre-authorized debit provider is required to hold the account holder's billing address.
- Student information: first name, date of birth, grade level, school, subjects of interest, learning goals, and any accommodation notes you choose to share. The date of birth is used to place your child at the right grade level, to schedule age-appropriate sessions, and to keep the right student record when families share a surname.
- Scheduling and session data: session bookings, attendance, and tutor lesson notes shared with parents.
- Application data (Careers): if you apply for a role, we collect the contents of your application — name, contact details, education, experience, references, and anything you write in the form.
- Payment information: processed by our payment processor; we do not store full card numbers on our servers.
Information collected automatically
- Site analytics: aggregated, de-identified information about how visitors use this site (pages viewed, referring source, device type).
- Cookies and similar technologies: see our Cookie Settings page for full details and controls.
- Session replay: we use Microsoft Clarity to record anonymised replays and heatmaps of how visitors move through this site — pages viewed, clicks, and scrolling — so we can fix confusing pages. Form-field contents are masked, and replays are not linked to your child's record.
- Advertising measurement: if you arrive from an ad or campaign link, we store that click's identifiers and any utm_ values in your browser for 30 days, and send them with your enquiry so we can tell which ads help families find us. See Cookie Settings for the full list and how to opt out.
3. How we use it
- To deliver tutoring services — scheduling sessions, matching tutors, sharing progress notes with parents.
- To communicate about your child's learning, billing, and academy updates you've opted into.
- To review job applications and contact candidates.
- To improve our materials and the site itself, using aggregated data.
- To meet legal, tax, and safety obligations.
4. Children's privacy
Tutoring inherently involves minors. We treat student information with extra care:
- Parental or guardian consent is the basis for all student records.
- We collect the minimum needed to teach the student — never more.
- Student data is never shared with advertisers, marketers, or third-party data brokers.
- Tutor lesson notes are visible only to the assigned tutor, the student's parent, and Keats academic staff.
5. How we share information
We share information only with the following categories of recipients, and only where necessary:
- Service providers who run our scheduling, email, payment, and hosting under written contracts that limit use to our instructions.
- Legal authorities when required by law, court order, or to protect the safety of a student or staff member.
- Successors in the event of a merger or acquisition — with the same protections you have today.
- Advertising and analytics platforms (Google Analytics, Google Ads and, where loaded, Meta) receive conversion events — that an enquiry, a Learning Plan Session request or an enrolment happened, its value, the branch, and the advertising identifiers from your own click. They never receive student details: no child's name, date of birth, school, grade, learning notes, or your home address.
We do not sell personal information. Full stop.
6. How long we keep it
- Active families: for as long as you are enrolled, plus seven years for tax and academic-record purposes.
- Job applications: 12 months after the role is closed, unless you ask us to keep them on file.
- Marketing contacts: until you unsubscribe.
7. Your rights
You have the right to:
- Access the personal information we hold about you or your child.
- Correct inaccurate information.
- Ask us to delete information that is no longer needed for the purpose it was collected.
- Withdraw consent for marketing communications at any time.
- File a complaint with the Office of the Information and Privacy Commissioner for British Columbia.
To exercise any of these rights, email admin@keatslearningacademy.com with the subject line "Privacy request". We respond within 30 days.
8. Security
We use industry-standard safeguards — encryption in transit, access controls, and trained staff — to protect your information. No system is perfectly secure, but we work hard to keep yours safe and will notify affected families promptly if a breach materially affects them.
9. International transfers
Some of our service providers are located outside Canada (notably the United States). When information moves across borders, we use contractual safeguards to keep your privacy protections in place.
10. Changes to this policy
We may update this policy as our services or the law evolves. Material changes will be flagged at the top of this page and, where appropriate, by email. The "last updated" date above always reflects the current version.
